Polish domestic business travel 2026: meals, allowances and advances

Calendar dates alone do not settle a Polish business trip. You need elapsed time from departure, provided meals, qualifying accommodation and approved expenses. Follow the domestic settlement process used by our calculator.

Simple Tools editorial teamReviewed: 30 September 2026

Confirm the rules and measure elapsed time

First check whether the regulation’s rules apply to the trip. The calculator does not price a private employer’s custom rates. Confirmation means you have checked the applicable rules, not that the tool has classified the journey legally.

Enter complete 24-hour periods and remaining hours and minutes. Monday 09:00 to Tuesday 15:00 is one day and six hours, regardless of crossing midnight. The form supports up to 90 days.

PLN 45 and two different partial-day rules

The full domestic daily allowance is PLN 45. A whole trip shorter than a day uses the 8 and 12-hour thresholds. For a trip longer than a day, its final remainder has a different threshold: up to eight hours is half an allowance, above eight is a full allowance.

Do not apply the short-trip table to the remainder of a longer journey. One day and six hours gives PLN 45 + 22.50 = 67.50 before meals, not just PLN 45.

Deduct meals in the correct travel-day unit

Free breakfast deducts 25% of the full rate, lunch 50% and dinner 25%. Include breakfast in the hotel price. Free full-board provision removes the domestic allowance.

Meal rows follow successive 24-hour periods from departure and the final remainder. A deduction is not a percentage of the reduced short-period allowance; each unit is clamped at zero. Recheck meal placement after changing duration, because shortening it removes final rows.

Accommodation and local travel: receipt or qualifying lump sum

Hotel receipts are capped at PLN 900 per night unless the employer approves reimbursement above the limit. Enter each night separately; a cheap night does not increase the cap for an expensive one. The no-receipt option is PLN 67.50 per qualifying night.

The accommodation lump sum requires, among other conditions, a stay of at least six hours between 21:00 and 07:00; transit time and free accommodation do not qualify. Local transport has a PLN 9 lump sum per qualifying started day. Do not add receipts for the same costs on top.

Example: 30 hours, breakfast and a PLN 200 advance

Enter one day and six hours. Mark breakfast in the first unit only; the remainder has no meals. Deducting PLN 11.25 from PLN 67.50 gives PLN 56.25. Add PLN 67.50 for one confirmed qualifying no-receipt night and PLN 18 for two qualifying local-transport days.

Total entitlement is PLN 141.75 before the advance. A PLN 200 advance leaves PLN 58.25 to return to the employer, not a negative meal allowance. Entering the advance does not change the main entitlement figure; the balance is shown separately.

Finish the settlement without duplicate costs

Enter other approved expenses without accommodation or transport already counted elsewhere. Submit settlement documents within 14 days after the journey. The calculator does not replace the employer’s document approval.

The tool accepts one accommodation method. If some nights have receipts and others qualify for a lump sum, settle the complete trip with payroll. Do not add two full-trip results: that would duplicate allowances. Home visits and time in the home locality need separate assessment.

Frequently asked questions

Does seven hours after a full day give zero allowance?

No. It is the remainder of a trip longer than one day, giving half an allowance before deductions. Zero applies to a whole trip shorter than eight hours.

Does hotel breakfast count as a provided meal?

Yes, when it is included in accommodation. Mark it in the correct row instead of leaving the allowance unreduced.

Why is the main result still positive after an advance?

It shows entitlement before the advance. The breakdown separately shows the remaining payment or the amount to return to the employer.

Does every night automatically qualify for a lump sum?

No. Check the accommodation conditions, any provided lodging and employer confirmation. The calculator accepts an already qualified night count.
