Polish foreign business travel 2026: allowances, currency and hotels
A foreign trip settled under Polish rules does not use one euro rate for every country. The destination, foreign-leg duration, expense currency and meal provision all matter. This guide helps you prepare consistent calculator inputs.
Separate the foreign leg from domestic travel
For land travel, the foreign leg starts and ends at the border. Air travel uses departure from the last Polish airport and arrival at the first Polish airport; sea travel uses Polish ports. Do not add travel to a Polish airport to the foreign-leg hours.
Enter elapsed time after accounting for time zones and clock changes. Settle the domestic leg separately. This calculator version handles one destination and one currency, not complete itineraries with several destination countries.

Destination rate and the 8 and 12-hour thresholds
A full foreign travel day gives the destination’s full rate. An incomplete day up to eight hours gives one third; above eight to twelve hours gives one half; above twelve gives the full rate. Do not use domestic thresholds, where a short whole trip can give zero.
Germany uses EUR 49 with a EUR 170 hotel limit per night. The United Kingdom uses GBP and Japan JPY. New York and Washington have separate US hotel limits; choose the appropriate entry rather than the general US entry.

Full board versus individual meals
Individual free meals deduct percentages of the full destination rate: breakfast 15%, lunch 30%, dinner 30%. Hotel meals also count. A deduction cannot make an individual row negative.
Free full board is a different option: 25% of the allowance due for that period remains. For six hours in Germany, EUR 49 ÷ 3 × 25% rounds to EUR 4.08. Do not replace that option with three individual-meal selections in a partial day.
Enter cash received for food separately in the correct unit, using the allowance currency. The calculator offsets it and adds no allowance where it covers the whole amount. Recheck meal rows after shortening the duration.

Hotels and transport lump sums without duplicate reimbursement
Enter each hotel receipt separately in the allowance currency. The limit applies per night unless the employer approves the excess. The no-receipt option is 25% of the hotel limit per qualifying night, not for free lodging or transit time.
Station or airport transfers have a full-daily-rate option for both directions and a half-rate option for one direction. They concern the destination locality and other foreign localities where the employee stayed overnight, not every connecting airport. Local transport uses 10% of the full rate per qualifying started day. Travel by car, motorcycle or moped excludes these lump sums; free transfers or no incurred cost also require zero.

Example: Germany, 30 hours and a EUR 200 advance
Choose Germany and enter one day and six hours, with no provided meals. The allowance is EUR 49 + 49/3 = 65.33 after rounding. One EUR 100 hotel receipt is within the limit, and a confirmed full station-transfer lump sum adds EUR 49.
With no other costs or lump sums, entitlement is EUR 214.33. After a EUR 200 advance, EUR 14.33 remains payable. If that hotel cost EUR 200 without excess approval, the night would be reimbursed at EUR 170, with EUR 30 shown above the limit.
Currency, exchange rate and cases needing separate settlement
Enter all expenses and the advance in the allowance currency. Prepare a receipt in another currency under the employer’s settlement rules. The optional PLN rate is entered manually and converts the balance; it is not an automatically selected NBP rate or tax valuation.
Do not add two complete-trip results to combine receipted and unreceipted nights. Mixed accommodation methods, multiple destination countries and hospitalisation abroad are outside this tool version. Keep the documents and confirm the complete settlement with the employer.

Frequently asked questions
Should all expenses be entered in euros?
No. Use the selected destination rate’s currency for the advance and receipts too. Do not mix PLN, EUR and other currencies in one total.
Does a six-hour foreign leg give zero allowance?
No. Before meals, it gives one third of the foreign daily rate. For Germany this is EUR 16.33; free full board leaves EUR 4.08 in this scenario.
Can I claim a station lump sum when travelling by car?
Not under the regulation scenario used here. After selecting motor-vehicle travel, enter zero station-transfer and local-transport lump sums.
Is the PLN exchange rate fetched automatically?
No. You enter it after checking the applicable settlement rules. The result does not determine a tax rate or confirm which NBP date applies.
Official sources and scope
We use Poland’s budgetary-sector business-travel regulation, reviewed on 30 September 2026. A private employer’s agreement, policy or contract may provide a different settlement. This guide does not determine entitlement, calculate tax exemptions or replace the employer’s approval of expenses.
